More for Your Mission: A Smarter Approach to Nonprofit Payments

Your nonprofit works hard for every donation. Clear pricing, easier recurring giving, useful technology, and responsive support can help more of that money reach your mission. Here’s what to review in your payment setup—and how Mosaic Processing can help.

Volunteers prepare grocery support bags in a community center beside the headline More for Your Mission.

Someone made a donation because they believe in what you do.

They want to help a family, support a student, keep a program running, or strengthen their community. Your team worked hard to earn that trust.

You should know how much of that donation reaches your organization. You should also know how much work it takes to get it there.

Processing fees matter. So do confusing statements, disconnected systems, failed recurring gifts, and the hours someone on your staff spends sorting it all out.

At Mosaic Processing, our goal is simple: help nonprofits keep more of every donation and make payments easier to manage.

Know What You’re Actually Paying

A rate on a proposal only tells you so much.

Your total cost may include transaction fees, monthly charges, gateway fees, platform fees, and other services. Some charges may come from your fundraising software. Others may come from your processor. You need to understand the whole picture.

A useful review starts with what your organization actually pays. What is each fee for? Which charges are required? Are you paying for something you no longer use?

Transparent pricing means you can understand the answer. You should be able to explain your payment costs to your executive director, finance committee, or board without needing someone to translate the statement.

Make Giving Easier for Donors and Staff

A donor may want to give online, make a contribution at an event, or set up a monthly gift. Your payment setup should support the ways your community already gives.

Depending on your needs, that may include online giving, mobile payments, recurring billing, invoicing, or a virtual terminal.

But adding another tool should solve a problem. If it creates another spreadsheet, another login, and another report to reconcile, your staff needs to understand that tradeoff before making a change.

We look at how payments fit into your day. How does a donation get recorded? How does your team match it to a deposit? Does the setup work with the software you already rely on?

The right fit should make sense for the person giving and the person doing the work afterward.

Give Recurring Donations the Attention They Deserve

A monthly gift is an ongoing relationship.

Your team needs a clear process for setting up authorized recurring payments, helping donors update their information, and responding when a payment fails.

A failed payment does not necessarily mean someone decided to stop supporting you. A card may have expired or been replaced. Your team should be able to see what happened and know what to do next.

When reviewing a system, ask which reminders, payment update tools, and reporting features are available. Make sure donors understand the amount and frequency of their gift and how to change or cancel it.

Reliable recurring giving takes both useful technology and thoughtful follow-through.

Know When the Money Will Be Available

Your organization still has bills to pay while donations move through the payment process.

Funding schedules deserve a clear conversation. When should deposits arrive? What are the cutoff times? How do weekends and holidays affect timing? Could a reserve or review delay access to funds?

The answers depend on the payment method, provider, and account terms. Any promise of faster funding should come with specifics.

Knowing what to expect helps your team plan.

Have Someone to Call

A payment issue during a fundraiser needs an answer.

So does a missing deposit or a recurring gift that suddenly stops going through. Your staff should know who handles the issue and how to reach them.

Dedicated support means someone takes the time to understand your organization, explain what is happening, and help you work through it.

We see ourselves as an extension of your team. The relationship should continue after the account is opened.

You Don’t Have to Be a Large Nonprofit to Ask

Maybe your organization only runs a few fundraising events each year. Maybe you have a small group of monthly donors. Maybe everyone wears several hats and reviewing payment costs keeps getting pushed down the list.

You can still ask whether your setup makes sense.

You can also ask if improvements are possible while keeping your current fundraising or donor management software. Compatibility and processor choice vary by platform, so those details should be checked before anyone recommends a switch.

The review should start with how your organization works today.

Start With a Free Statement Review

Gather 2–3 recent processing statements and tell us how your organization accepts donations and other payments.

We’ll review the charges, talk through your current setup, and identify where there may be opportunities to reduce costs or simplify the work. If a change would create new fees or require different technology, that belongs in the conversation too.

You deserve a clear explanation and a recommendation that fits your organization.

Request your free nonprofit payment statement review. We’ll walk through the next steps, including how to share your statements securely.

Your team has a mission to carry out. Let’s make sure your payment setup supports it.
